You can easily set up and invite your tenant to use the RentBetter platform within minutes.

Adding a tenant in RentBetter is simple and can be done as part of creating a tenancy to invite brand new tenants moving into your property, or you can add tenants to your tenancy who already have a lease in progress.

During the setup process, you'll be able to create a lease agreement, set up rent payments, manage your bond, create condition reports, and much more.

How to Set Up Your Tenant on RentBetter

Step 1 - Navigate to the Setup

There are two ways to begin setting up a tenancy in RentBetter, depending on whether this is your first tenancy or you’ve previously had tenants on the property.

> Setting Up a Tenancy from Scratch

If you’re setting up your property for the first time:

  1. Navigate to your property in RentBetter.

  2. Click on the 'Manage My Property' tab.

  3. Select 'Get Started' to begin the tenancy setup process.

From here, you’ll be guided through adding lease details and inviting your tenant(s).

If you’ve previously had a tenancy on the platform and your tenants are moving out:

  1. Open your current tenancy.

  2. Click on the 'Actions' button.

  3. Select 'Set Up for Future Tenants'.

👉 If taking this pathway, you will need to ensure you have terminated your previous one to ensure the tenancy and payments are stopped on the correct date.

You can do this by clicking on your current tenancy and then on the 'Actions' button and selecting the option to 'End Tenancy'.

Step 2 - Select Your Situation

On the following screen, you'll be able to begin the setup process by selecting the option that best describes your situation:

  • Set up for new tenants (For setting up brand new tenants moving into a property)

  • Add tenants with a lease in progress (For setting up tenants who already live at your property)

Step 3 - Enter Tenancy Details

On the next screen, you’ll enter the tenancy setup, where you can add all the required details. The setup will take you through the sections to complete, including Tenant Details, Rent Collection, and Lease Agreement Details.

You’ll see each section listed on the left-hand side of the screen. As you complete each one, it will be marked with a green tick to show your progress.

You can save your progress as you go, so there’s no need to complete everything at once. If you don’t have all the information ready, simply save your changes and return at any time to continue setting up the tenancy.

Rental Provider Details

The rental provider details are pre-populated based on the information you entered when adding your property. You can edit these details if needed and add additional rental providers if applicable.

The information provided here will be included in the lease agreement and shared with your tenant for contact purposes.

If there are multiple rental providers, all details will appear on the agreement. However, only one rental provider can be the lease signer. This person will need to log into RentBetter using the account that created the tenancy and sign the agreement on behalf of all rental providers.

Tenant Details:

  • Enter the Name, Email and Phone Number for each tenant.

  • Each tenant must have a unique email address so that they can sign up and take actions related to the tenancy, such as signing a lease.

Lease Term:

  • Enter the start date and select the lease term (fixed-term or periodic)

  • If the tenancy is a fixed-term, you can enter the start date and then click 'Calculate End Date'. This will give you the option to automatically calculate the end date based on your selected lease duration, or you can enter a custom end date if needed.

Rental Payment Details:

Amount and Frequency:

Enter the rent amount and select the payment frequency (Weekly, Fortnightly, or Monthly).

It’s a good idea to agree on the payment frequency with your tenant in advance, as aligning rent payments with their pay cycle can help ensure consistency and reduce the risk of missed payments.

Rent is automatically set up to be paid in advance. This means the tenant pays at the beginning of each rental period, then lives in the property for that period before the next payment is due.

Early First Payment:

Select if you would like to collect an Early First Payment from your tenant - this is a one-off payment that is made by the tenant to you, before moving into the property.

Rent Collection Method:

Select the rent collection method -

  • Automatic (through RentBetter) or

  • Manual (Outside of RentBetter)

If Automatic Payments are selected, RentBetter will collect rent directly from your tenant via direct debit, using their chosen payment method (either a bank account or credit card).

Please note that card payments incur a processing fee, which is payable by the tenant. Bank account payments do not incur any fees and are the recommended option.

Start Date of Payments

The payment schedule on RentBetter will always be aligned to the start of the lease to ensure accuracy.

  • If you’re collecting payments through RentBetter, you’ll need to select the start date for automatic payments. You can choose this from the dropdown list of available payment period dates.

  • Please note that automatic payments can only be set up for future rental periods. Any outstanding amounts for past periods will need to be paid manually by the tenant through their RentBetter portal. They can do this by using the 'pay now' button available on the rental payments page.

You will be able to add details for historical rental payments, including marking which payments have been paid and if there are any still outstanding, after you have completed the tenancy setup.

If you select a payment start date in the future but still want to account for earlier periods, you can choose whether to include or exclude past payment periods in the schedule for tracking purposes.

  • Exclude past payment periods

    Best when taking over from a property manager or agent who handled previous payments, or if you recently purchased the property with existing tenants. Past periods won't appear in finance reports or the tenant ledger.

  • Include past payment periods

    Past payment periods will appear in your tenant ledger, financial reports, and downloadable payment history. Your tenant will also be able to see the full record of rent paid/owed since the tenancy started. After the tenancy setup, you will have the ability to bulk mark historical payments as paid or still outstanding.

Rental Provider Bank Account

Enter the details of the bank account where your tenant’s rent payments will be deposited (The remittance account).

If your payments are being collected through RentBetter, these account details will not be visible to your tenant. If your payments are being collected outside of RentBetter, these details will be displayed on the lease agreement.

Bond Details:

Enter the bond details and choose how you would like the tenant to pay the bond.

Collection method - The bond can be collected through RentBetter or outside of RentBetter, such as via the bond authority or by having the tenant transfer the funds directly to your bank account.

Please note that RentBetter does not lodge the bond on your behalf.

In some states, such as NSW and QLD, it’s recommended that tenants pay their bond directly to the bond authority and this will be the recommendation on the page inside the setup.

If your tenant has already paid the bond, you can mark this as paid and input the receipt date as well as upload any attachments relating to the bond payment/lodgement.

Lease Agreement:

In this section, you can either create a new agreement for tenants to sign directly in the platform or upload an existing agreement that has already been signed outside of RentBetter.

If you're creating one through the platform, the agreement template is automatically populated based on the government template issued for your state.

Rooming houses - A rooming house is a shared property where each room is rented out individually under separate agreements.

If your property is set up as a rooming house, a rooming house agreement (where available in your state) will be available for selection.

Follow the steps in the agreement to complete each section.

  • Required fields will be marked in red

  • Additional Terms – If there is anything else you would like to include or clarify in the agreement, you can add it in the Additional Terms section. This will create an additional page at the end of the agreement.

Preview Agreement - Once all required fields are completed, you’ll be able to preview the agreement. Please note that the preview option will only become available after all required fields have been filled in.

Step 4 - Invite Your Tenants

The final step in the tenancy setup is to review all details and invite your tenant(s).

Carefully check that all tenancy information is correct. Once confirmed, scroll down to invite your tenant and begin their onboarding process in RentBetter.

The tenants will receive an email and SMS with a link to get set up on RentBetter and connect to your tenancy. Keep reading below for more information on the tenant onboarding process.


Tracking Tenant Onboarding

When you set up a tenancy, your tenants will be invited to join RentBetter via email and SMS, where they can access a link to connect to your tenancy.

Once invited, tenants will receive onboarding notifications that guide them through each required step to complete their setup. These steps are based on the information you’ve entered during tenancy creation, but typically include:

  • Creating a RentBetter account

  • Signing the lease agreement

  • Adding a payment method

  • Paying the bond

  • Making any required upfront (Early) payments

  • Completing the condition report

These notifications are sent directly to the tenant via email. Each email outlines which step they are currently up to in the onboarding process.

You can also track tenant progress at any time from the tenancy setup page within your RentBetter account.

You can monitor the tenant's progress via your onboarding dashboard, which can be accessed via the Tenancy setup page.

Once signed up to RentBetter, tenants can also track their progress by logging into their RentBetter account and viewing their dashboard, as seen in the picture below.

If there are any actions required, such as making a payment, a button will be displayed. Tenants can simply click this button to proceed with the action.

Once your tenants have completed onboarding, the tenancy will become active on the platform. From here, you’ll be able to manage ongoing actions such as rent adjustments or future lease updates.


Tenancy Set Up FAQs

My tenant accidentally set up a landlord account.

This can happen if your tenant tries to sign up to RentBetter prior to receiving an invitation from you. Please get in touch with us via the support chat or email info@rentbetter.com.au, and we can remove their account and help them get set up on their tenant account.

My tenant hasn’t received their onboarding email.

If your tenant hasn’t received their onboarding email, ask them to first check their junk or spam folder. You should also confirm that the email address has been entered correctly. If they still can’t locate the email, please contact us and we can investigate further.

If you need to update your tenant’s email address, go to the Tenancy Setup section and click the 'Edit' button in the top right-hand corner.

Please note that you can only make changes while the lease is still in draft and has not been signed by all parties. If the lease has already been signed, please contact our team and we’ll assist you further.

I uploaded my own agreement, but my tenants can't sign it on the platform.

When you select the option to upload your own agreement, you are confirming that you and your tenant have already signed an agreement outside of the platform. If you would like your tenant to sign an agreement within RentBetter, you will need to select the first option during tenancy setup.

To change this, click into the Agreement step in the tenancy setup, then select Create New Agreement. This will update the setting and allow you to create and send an agreement through the platform.

I need to edit the lease agreement I sent to my tenant.

You can make edits to the lease at any point before all parties have signed. To do so, navigate to 'Tenancy setup' and then click on the 'Edit' button in the top right.

(Note that you can only do this if the agreement is not finalised. If everyone has signed, you will need to create a new agreement to send).

Please be aware that if you choose to edit, all existing signatures will be voided, and you will be required to resend the lease to your tenants for everyone to sign again.

I am trying to set up multiple tenants with separate agreements on my property.

You can only have one active lease per property. If you have multiple tenants and would like them set up on separate agreements (for example, in a share house arrangement), please contact us and we can guide you through how to set this up on the platform.
